Guideline For Presenters

Oral Presentations

The duration of formal oral presentations is 15 minutes, followed by 3 minutes for questions. Please ensure that your presentation duration has been carefully checked (15 minutes maximum). The presentation schedule will be strictly enforced by each Session Chair.

Presentation files in Powerpoint or PDF format should be emailed to the Technical Chair no later than 19th June, 2014. Please make sure to note your submission ID number and the title of your paper in the email you send. Your presentation will then be loaded onto the PC provided in the presentation venue. A member of the conference staff will be available to help, in each presentation venue, throughout the conference.

Presenters are requested to find an opportunity in advance of the presentation to familiarise themselves with the particular presentation venue as indicated by the conference programme. Before the commencement of the session, you should verify that your presentation is in place on the PC in the presentation venue.

Presenters should introduce themselves to their Session Chair who will be available in the presentation venue in the interval before the session begins. This will allow a final check that all necessary presentation materials are in place before the session starts.

The following presentation equipment will be provided in each venue:

  • PC with Microsoft Powerpoint & Adobe software, linked to a data projector.
  • Presentation control/laser pen for remote control of presentation.
  • Voice projection equipment.
Suggestions For Oral Presenters
  • Please ensure that the duration of your presentation has been carefully checked.
  • Find an opportunity in advance of your presentation to familiarize yourself with the venue and podium environment.
  • At least 15 minutes before your session starts, verify that your presentation file is present on the hard drive of the venue PC, and that it is complete and accurate.
  • Consider including slide page numbering and/or a presentation thermometer to indicate the progress of the presentation.
Speaker Biography

To aid speaker introduction by the session chair, all oral presenters are required to email a brief (half-page maximum) biography to the Technical Chair no later than 19th June, 2014. Please make sure to note your submission ID number and the title of your paper in the email you send.

Poster Presentations
  • Poster stands of appropriate for A0 Portrait size will be provided for displaying posters. Please prepare your poster in either A0 portrait size (maximum poster size), or A1 Landscape size (minimum poster size). Aim to use a minimum of 24 point text size in your poster.
  • Each poster will be identified by an ID number as per the Conference Programme, and should be mounted on the corresponding poster stand available, at least one hour prior to start of your allocated session.
  • Poster presenters should attend their poster for the duration of the poster session, which includes a refreshment break in each case. You are encouraged to prepare a 3 or 4 minute informal presentation of the poster for attendees who request it.
  • Poster presenters are kindly asked to leave their posters mounted on their stands for at least one hour after the end of their poster session, but need to remove them at least one hour before the next session to allow time for the next poster presenters to attach their posters.
